Refund & Cancellation Policy

At Hikari Webworks, we are committed to delivering high-performance web engineering, custom AI voice agents, and business automation systems with complete transparency. Because our work involves custom code, dedicated engineering hours, and tailored cloud infrastructure, we have established clear guidelines regarding cancellations, milestone sign-offs, and refund eligibility.

1. Project Cancellation Policy

We understand that business priorities can shift. Clients may request project cancellation under the following conditions:

  • Before Project Kickoff (Within 48 Hours of Deposit): If you request cancellation before any discovery sessions, wireframing, or architecture work has begun, you will receive a 100% full refund (minus standard third-party payment gateway transaction fees).
  • During Discovery & Blueprint Phase: If cancellation is requested after initial discovery workshops or architectural blueprints have commenced, the initial deposit is non-refundable to cover allocated engineering hours and design assets created.
  • Active Development Phase: Either party may terminate a project with 7 business days written notice. In the event of cancellation, work completed up to the termination date will be invoiced, and any unspent advance funds for uninitiated milestones will be refunded.

2. Milestone Payments & Refund Eligibility

Custom web development and enterprise software projects are structured around agreed milestone deliverables (e.g., Design Approval, Alpha Staging, Production Deployment):

  • Approved Milestones: Once a milestone deliverable is reviewed, tested, and approved in writing by the client, the payment associated with that milestone is non-refundable.
  • Unapproved or Incomplete Milestones: If Hikari Webworks is unable to deliver a specific milestone according to the mutually agreed technical specifications in the project scope, we will either rectify the deliverable at no extra cost or provide a proportional refund for the incomplete milestone.
  • Final Production Delivery: After full handover of source code, production deployment, and repository transfer, fees are non-refundable.

3. Monthly Retainers & Subscription Services

For ongoing services such as AI Phone Agent maintenance, WhatsApp workflow monitoring, SEO growth retainers, and cloud infrastructure management:

  • No Lock-In Contracts: Monthly retainers can be cancelled at any time with 14 days written notice prior to the start of the next billing cycle.
  • No Partial-Month Refunds: Retainer fees are billed at the beginning of each billing period. We do not provide prorated refunds for mid-cycle cancellations; your services will remain active through the end of the paid period.

4. Third-Party & Pass-Through Costs

The following direct third-party expenses purchased on the client's behalf are non-refundable once provisioned:

  • Domain registrations, SSL certificates, and premium font/plugin licenses.
  • Direct third-party cloud hosting fees, telephony phone numbers, and LLM token usage.
  • Any third-party API credits consumed during development and testing.

5. Refund Request Process

To initiate a cancellation or refund request, please follow these steps:

  1. Send an email to contact@hikariwebworks.studio with the subject line: Cancellation / Refund Request: [Your Company / Project Name].
  2. Include your invoice number, project name, and reason for the request.
  3. Our team will review your account status and respond within 2 business days.
  4. Once approved, eligible refunds are processed to your original payment method within 5 to 10 business days.
